School ERP Data Migration Checklist: Moving Beyond Spreadsheets

Moving from spreadsheets or an older system is not simply a file upload. It is a controlled process for deciding what data matters, correcting it, mapping it to the new system, testing the result, and obtaining approval from the people responsible for each record.

1. Create a data inventory

List every source: admission files, student registers, guardian contacts, staff records, fee ledgers, attendance, grades, transport routes, and documents. Record the owner, format, date range, and whether the source is still actively maintained.

2. Decide what should move

Migrate information that supports current operations or required reporting. Old data with low operational value can be retained in a controlled archive. This keeps the new system clean and reduces unnecessary migration risk.

3. Clean before importing

  • Use one format for names, dates, classes, sections, and phone numbers.
  • Identify duplicate student and guardian records.
  • Fill mandatory fields or document accepted exceptions.
  • Use stable identifiers instead of matching records by name alone.
  • Remove test records and outdated working copies.

4. Run a small test migration

Import a representative sample that includes ordinary and unusual cases. Check record counts, totals, relationships, permissions, and reports. A technically successful import is not complete until school owners confirm that the data is meaningful and usable.

5. Control the final cutover

Set a deadline after which changes must be entered in one agreed system. Back up the source files, record the exact import version, complete reconciliation checks, and obtain sign-off. Keep a clear rollback and support plan for the first operating days.

After launch, review errors and adoption regularly. Migration ends when teams trust the new records—not when the upload finishes.
